Executive Assistant to CEO and Deputy CEO/CPO

Are you looking to work closely with senior leadership in a dynamic and fast-paced environment? We are now looking for an experienced and proactive Executive Assistant to join our Workplace team at Nordnet and contribute to our continued success!

About the role:

As Executive Assistant, you will primarily support our CEO and Deputy CEO/CPO, while also contributing to the daily operations of our Workplace team and reporting to the Head of Workplace Experience. In this role, you will serve as a key point of contact both internally and externally, collaborating with the Board of Directors, Group Management, and other important stakeholders. The position requires a high level of discretion, exceptional organizational skills, and a strong service-oriented mindset.

You will be based at Nordnet’s headquarters in Stockholm.

Key responsibilities:

• Manage and prioritize the calendars and schedules of the CEO and Deputy CEO/CPO
• Anticipate and resolve potential issues that may impact leadership priorities
• Prepare materials and manage communication for the Board of Directors and Group Management
• Coordinate and optimize travel arrangements, providing support for any unforeseen events
• Handle confidential documents and sensitive information with discretion
• Manage day-to-day administrative tasks including expense reporting, invoice processing, and office orders
• Organize internal and external meetings, including logistics and catering
• Support onboarding of new leadership team members
• Coordinate investor relations meetings and external contacts in collaboration with the IR Manager
• Act as the log keeper and administrator for Crisis Management activities
• Maintain and update internal collaboration platforms (e.g., Confluence)
• Support the Workplace team with a variety of office and administrative tasks

Who you are:

• Has 5+ years of experience supporting C-level executives in an Executive Assistant role
• Communicates fluently and professionally in both English and Swedish
• Is proactive, highly organized, and trustworthy
• Thrives in a fast-changing environment and can manage multiple priorities
• Is proficient in Microsoft Office or Google Suite, and familiar with tools such as Confluence and Slack
• Has a strong service orientation and problem-solving mindset
